As part of our ongoing growth and expansion, we are seeking a dynamic, experienced, motivated and detail-oriented Junior Subcontracts Administrator to support the procurement and contract management team. This entry-level role is ideal for someone looking to build a career in contract administration, procurement, or supply chain management. The successful candidate will assist in the preparation, tracking, and administration of subcontract agreements under the guidance of senior staff.

 

Employee will be expected to work Eastern Standard Hours. 

Responsibilities

  • Assist in the preparation and issuance of NDAs, teaming agreements, subcontract agreements, subcontract task orders, consulting agreements, and purchase orders in accordance with company policies and applicable regulations.
  • Support the review of subcontractor proposals for completeness and compliance.
  • Obtains all necessary internal approvals of contract documents using DocuSign following the corporate authority matrix.
  • Maintain subcontract files and ensure proper documentation is stored and organized.
  • Prepare subcontract briefs, as applicable by entering data into Contract Management Data System (i.e. Contract Insight) for internal distribution and store all related contract documents in the same Contract Management System.
  • Maintain contract files and ensure compliance with government and company policies.
  • Communicate with subcontractors regarding documentation, schedules, and compliance requirements.
  • Help ensure adherence to company policies and applicable regulations (e.g., FAR/DFARS).
  • Support internal reporting and audit preparation.
  • Collaborate with finance and project management teams to resolve subcontract issues.

Qualifications

  • Bachelor’s degree
  • 0–2 years of experience in contract administration, procurement, or related field.
  • Basic understanding of contract terms and procurement processes.
  • Strong organizational and communication skills.
  • Proficiency in Google and Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn quickly and work in a fast-paced environment.

 

Preferred Qualifications:

  • Internship or coursework related to contract management or procurement.
  • Familiarity with federal contracting regulations (FAR/DFARS) is a plus.
  • Experience with contract management systems is a plus.
