As part of our ongoing growth and expansion, we are seeking a dynamic and experienced seeking a detail-oriented and experienced Subcontracts Administrator to manage and oversee subcontracting activities in support of project and procurement operations. The ideal candidate will have a solid understanding of contract management principles, procurement processes, and compliance requirements. This role involves coordinating with internal teams and external vendors to ensure timely and cost-effective subcontract execution.

 

Candiates will be working Easten Standard Hours. 

Responsibilities

  • Prepare, negotiate and administer NDAs, teaming agreements, subcontract agreements, subcontract task orders, and consulting agreements in accordance with company policies and applicable regulations.
  • Ensure compliance with applicable laws, regulations, and contract terms.
  • Monitor subcontractor performance to ensure compliance with contractual obligations.
  • Ensure compliance with FAR/DFARS, company policies, and client requirements.
  • Collaborate with finance and project management teams to resolve subcontract issues.
  • Issue purchase orders using the company accounting system for subcontract agreements and consulting agreements.
  • Obtains all necessary internal approvals of contract documents using DocuSign following the corporate authority matrix.
  • Prepare subcontract briefs, as applicable by entering data into Contract Management Data System (i.e. Contract Insight) for internal distribution and store all related contract documents in the same Contract Management System.
  • Maintain contract files and ensure compliance with government and company policies.
  • Review prime solicitation packages, draft subcontract solicitation packages to support prime proposals and create subcontract documents that incorporate appropriate prime contract flow downs and company provisions.
  • Prepare Memorandums of Negotiation, Subcontractor Checklist and Price Analysis of subcontractors pricing to obtain consent to subcontract, as required.
  • Support audits and reporting requirements related to subcontracting activities.

Qualifications

  • Bachelor’s degree
  • 3–5 years of experience in subcontract administration, preferably in government contracting or large-scale commercial projects.
  • Strong knowledge of procurement regulations and contract law.
  • Proficiency in contract management software, Google and Microsoft Office Suite.
  • Excellent negotiation, communication, and organizational skills.
  • Ability to manage multiple priorities and work independently.

 

Preferred Qualifications:

  • Experience with federal government contracts (FAR/DFARS)
  • Located within EST
